Scan tickets

Each scan checks the ticket live with Sweescape: SweeScan instantly shows whether the ticket is valid, already used or rejected, along with the attendee’s details. A validated ticket marks the attendee as present.

For a ticketed event, tap the event in SweeScan: a “Selected Event” window opens with the “Select a ticket” list.

  • All Tickets: every ticket of the event is accepted.
  • One ticket type, for example “VIP”: only that type is accepted, the others are rejected. Tickets reserved for an access code are labelled “(code only)”.

Make your choice, then tap Confirm Selection. You check either all tickets or a single type: you cannot pick several. To change, go back with Back and tap the event again.

For an imported event, there are no ticket types: the camera opens directly and every attendee is accepted.

  1. Hold the QR code in front of the camera, inside the white frame: “Align QR code within frame”. The ticket can be printed, shown on screen as a PDF or opened in Apple Wallet or Google Wallet.

  2. As soon as the code is read, the frame turns green, the text says “QR Code detected” and the bottom button changes from “Scanning…” to Tap to Validate.

  3. Tap Tap to Validate while keeping the QR code inside the frame. A beep sounds and “Checking validity…” appears during the check.

  4. Read the result, then tap Tap here to scan again to move on to the next ticket.

Screen Colour Message What to do
Valid Ticket Green “Ticket scanned” Let them in. Attendance is recorded.
Already Used Orange “Ticket already scanned at” followed by the date and time of the first scan The ticket was already shown, perhaps by someone else with a copy. Compare the name shown with an ID.
Invalid Ticket Red “Ticket selected is not the same as the one in the QR Code” The ticket is a different type from the one selected. Send the person to the right entrance, or scan with All Tickets.
Invalid Ticket Red “Inexisting participant” The QR code does not belong to this event: ticket for another event, deleted attendee, or a code that is not a Sweescape ticket.
Invalid Ticket Red “Inexisting event” Your account no longer has access to this event (collaborator removed, event deleted).
Invalid Ticket Red “An error occured, please retry later or contact support !” The check did not go through, most often because of the internet connection. Try again.

For Valid Ticket and Already Used, SweeScan also shows the attendee’s details:

  • Participant: their first and last name;
  • Ticket type: the name of their ticket;
  • their other details: email, phone, answers to custom fields;
  • Order date: the date the attendee was created, which is the purchase date for a buyer.

SweeScan has no offline mode: each validation queries Sweescape live. On a weak network, “Checking validity…” takes longer. With no network, the result is red with the error message: restore the connection and try again.

The upside: every phone shares the same information within a second. A ticket validated on one phone immediately shows Already Used on all the others. Network tips for the day: Get your team scanning.

Each valid scan marks the attendee as present in the dashboard’s Participants tab and in your analytics.

A ticket can only be validated once per check-in session. For a multi-day event or when doors reopen, close the check-in in the dashboard: Participants tab, Close check-in button. Scanned tickets become scannable again for the next session, and check-ins already recorded are kept. You can limit the closing to some tickets. See Check attendees in and reopen scanning.

If you cancel an attendee’s presence with Check Out, in the menu of their row in the Participants tab, their ticket can be scanned again.

  • No search by name and no manual validation in the app. For an attendee without their ticket, find them in the dashboard’s Participants tab (“Search for a participant…” field) and mark them present with Check In in the menu of their row.
  • No statistics in the app: the number of scanned attendees is shown in the Participants tab, and the details in SweeAnalytics.
  • No offline mode: see above.
  • No selection of several ticket types: it is All Tickets or a single type.
